Terms of Service

These Terms of Service ("Terms") govern your access to and use of the VoxiPAT website, WhatsApp submission service and customer portal (together, the "Service"), provided by VoxiPAT ("VoxiPAT", "we", "us" or "our"). By creating an account or using the Service, you agree to these Terms. If you are using the Service on behalf of a company, you confirm you have authority to bind that company.
1. The Service
VoxiPAT converts spoken Portable Appliance Testing (PAT) results, submitted as audio recordings via WhatsApp, into structured digital reports, which are emailed to you and made available for review, editing and export (including as CSV) in your VoxiPAT portal. VoxiPAT is a reporting tool only; it does not perform electrical testing and is not a substitute for a competent person's professional judgement.
2. Accounts
You must provide accurate, current information when creating an account, and keep your login details confidential. You are responsible for all activity that occurs under your account. Tell us immediately at hello@voxipat.com if you suspect unauthorised use.
3. Plans, pricing and billing
We offer the following plans, as described on our pricing page: Pro and Ultra subscription plans (billed monthly or annually), and Pay As You Go processing hours purchased individually. Prices are shown in GBP and may be subject to change on notice. Subscriptions renew automatically at the end of each billing period unless cancelled before renewal. Payments are processed securely by Stripe; by subscribing, you also agree to Stripe's terms. Fees are non-refundable except where required by law or expressly stated otherwise.
4. Free trials
Where we offer a free trial, it will convert to a paid subscription at the end of the trial period unless you cancel before it ends. We may end or modify free trial offers at any time.
5. Cancellation
You may cancel your subscription at any time from your account settings or by contacting hello@voxipat.com. Cancellation takes effect at the end of your current billing period; we do not provide refunds for partial periods, except as required by the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 or other applicable law.
6. Acceptable use
You agree not to use the Service to: submit unlawful, fraudulent or misleading content; attempt to gain unauthorised access to our systems; interfere with the operation of the Service; or use the Service in a way that infringes the rights of others. We may suspend or terminate accounts that breach this section.
7. Your content and data
You retain ownership of the audio recordings and report data you submit ("Your Content"). You grant us a licence to process, transcribe, store and display Your Content solely to provide the Service to you. You are responsible for ensuring you have the right to submit any information contained in Your Content, including compliance with any obligations you owe to third parties (such as employees or clients named in your recordings).
8. Accuracy of reports
While we take care to accurately transcribe and structure the information you provide, VoxiPAT reports are generated based on what is spoken in your recordings. You are responsible for reviewing every report for accuracy before relying on it or submitting it as part of your PAT testing records. VoxiPAT is not responsible for errors resulting from unclear, incomplete or inaccurate recordings.
9. Intellectual property
We and our licensors own all rights in the Service, including our software, branding and website content. Nothing in these Terms transfers any such rights to you, other than the limited right to use the Service in accordance with these Terms.
10. Service availability
We aim to keep the Service available at all times but do not guarantee uninterrupted access. We may suspend the Service for maintenance, or where necessary for security reasons, and will aim to give reasonable notice where practicable.
11. Limitation of liability
To the fullest extent permitted by law, VoxiPAT shall not be liable for any indirect or consequential loss, or for any loss of profits, revenue or data, arising from your use of the Service. Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under English law. Our total liability to you for any claim arising from the Service is limited to the amount you paid us in the 12 months preceding the claim.
12. Termination
We may suspend or terminate your access to the Service if you breach these Terms, or on reasonable notice for any other reason. On termination, your right to use the Service ends, though provisions relating to liability, intellectual property and governing law will survive.
13. Changes to these Terms
We may update these Terms from time to time. We will post the updated Terms on this page with a revised "last updated" date. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
14. Governing law
These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
